Adult Volunteers

Adult Volunteers are the Backbone of the Young Marines!

Ten-to-One Rule. Have one Adult Volunteer present for every 10 Young Marines. If there are

10 Young Marines, which consists of both males and females, then two Adult Volunteers (one

male and one female) must be present.

Two-Deep Rule. An Adult Volunteer should never be alone (one-on-one) with a Young Marine

unless they are the Young Marine’s parent. If the Young Marine is female, a female Adult

Volunteer should always be present. If the Young Marine is male, a male Adult Volunteer should

always be present.

Adult Volunteer Billets

Unit Commander (Required – Elected)

Responsible for everything the unit does or fails to do.

Executive Officer (Required – Elected)

2nd-in-command and assists the Commander at all command levels in the performance of their duties.

Financial Manager (Required – 1 max)

Must read, understand, and comply with the Unit Financial Management Manual.
Maintains the monthly check register for each bank account, including supporting
documentation, and submits to the UC for review through the database
Records and validates deposits and expenditures to Unit bank account register on the YM database
Prepares checks for the bank signers
Ensures the Unit checks have the required two signatures (Unit Commander and one other Registered Adult Volunteer who is not the Financial Manager)
Witness all expenditures approved by the Unit Commander
Does not allow expenditures of funds more than those that are in the account
Ensures there are receipts for all expenditures made by check and/or on the Unit debit card. If there is no receipt, the person incurring the expense must reimburse the Unit for expenditures
Ensures all bills are paid in full in a prompt manner
Makes all documentation available for inspection to Headquarters Young Marines, Young Marines independent auditors, Young Marines accounting firm, adult staff, and any contributors to the Unit
Secures checkbook and financial records

Adjutant (1 max) / Assistant Adjutant (2 max)

Refer to the “Adjutant Manual” located in the Database.
Attends monthly Online Adjutant’s Call with HQYM or assigns a proxy.
Maintains, monitors, and updates Registered Adults and Young Marines’ Record Books in the Young Marines Database System (YMDBS)
Updates and safeguards the hardcopies of the Young Marines’ Record Books (YMRB)
Records YM/AV attendance.
Submits RUST Insurance for ALL activities and events
Assist parents when registering new Young Marine recruits
Assists oncoming AVs with Adult Volunteer Applications
Re-registers all Young Marines and Registered Adults Annually
Maintains master file of all Headquarters Young Marines (HQYM) blank forms & documents, unit correspondence, unit policies, awards and promotions, discharges and bylaws
Prepares minutes of staff meetings and elections, unit rosters and special events forms
Encampment and Trip registrations and applications for YMs and AVs

Training Officer (1 max) / Assistant Training Officer (2 max)

Ensures a current copy of the Training Officers Manual (TOM) and Awards Manual (AM) is available at all regular meetings, encampments, events, etc.
Ensures all Young Marines have a current Annual Physical on file.
Ensures all Young Marines have 3 Hours of DDR Training per quarter.
Ensures all Young Marines have 2 PFTs per year.
Plans the activity for Physical Training at every drill.
Ensures the meetings stay on schedule.
Ensures all training events meet all safety standards required.
Develop a training plan quarterly to discuss with the UC, meeting the mission and objectives in the Young Marines Program.
Develop a training plan (with the Awards Officer) with activities to help Young Marines earn ribbons and awards (i.e. Swim Quals, Marksmanship, Fire Safety)
Inputs completion of Performance Objectives (PO) and Enabling Objectives (EO) in the database.
Inputs Physical Fitness Test results in the database

Activity Medical Officer (Required at EVERY event or activity)

Ensures all training events meet all safety standards required.
Collect and safeguard all prescription and OTC medication in original containers collect and file all Sick Bay Log (YMMEDFORM4) and Authorization for Medical Treatment (YMMEDFORM1) in the Medical Treatment Logbook.
Record all visits to Sick Bay in the Sick Bay Log (YMMEDFORM4).
Dispense prescription and/or over-the-counter medication to Young Marines/Recruits with parental or legal guardian written consent only.
Record all dispensed prescription medication in Sick Bay Medication Log (YMMEDFORM4).

Awards Officer

Submit for the President’s Volunteer Service Awards in time for the Young Marine Ball (on Sept 1st)
Develop a training plan (with the Training Officer) with activities to help Young Marines earn ribbons and awards
Track information for the Veterans Appreciation Award.
Collect and upload School Report Cards at the end of every school year and issue the Academic Achievement Award.
Upload and Document Young Marine’s non-Young Marine awards and activities in the database.
Issues Young Marine awards in the database.
Prepares award certificates, promotion warrants, and discharges.

Community Service Officer

Inputs Community Service hours for AVs and YMs
Researches and schedules community service events (beach cleanups, etc.)

DDR Officer

Ensures all Young Marines have 3 Hours of DDR Training per quarter.
Corresponds with Mayors and State Representatives to schedule Red Ribbon Week Proclamations in October
Coordinates Red Ribbon Week activities and the DDR Dash
Ensures the unit’s RRW order is in on time for RRW.

Drill Instructor (2 max) / Platoon Leader

Instructs and supervises Young Marine Drill
Assigns Young Marine Color Guard detail
Instructs and supervises Young Marine Color Guard
Inputs YM Billet Assignments

Event Coordinator / Fundraiser Officer

Schedules and organizes events for the unit (parades, booths, museums, fun trips, etc.)
Schedules and organizes fundraisers for the unit (fundraiser dinners, popcorn sales, etc.)
Primary Wreaths Across America contact

Female Staff Advisor / Male Staff Advisor

Available for Female / Male Young Marine support

Food Services Coordinator

Ensure snack donations are being received
Ensure snacks are at every drill and event
Organize a food committee for events such as the Young Marine Ball

Judge Advocate

Annual review of unit By-Laws
Ensures the unit follows all current rules and regulations

Logistics Officer

Arrange travel and gear transport for unit trips and events.

Marine Corps League Liaison

Communication between the Marine Corps League and the Young Marines Unit

Parent Support Group

Organizes, communicates, meets with, and controls the Parent Support Group

Public Relations Officer

Refer to the “Public Affairs Manual” located in the Database.
Send press releases and/or story ideas to editors, reporters, TV producers, etc.
Submit articles to the Esprit Magazine of the Young Marines
Submit posts on Social Media (Facebook, Instagram, etc.)
Submit Content to the Headquarters Young Marines Social Media social@youngmarines.com. In the body of your email make sure to identify the four Ws:
- Who - your unit name, town and state and the YMs in the photo, left to right, and be sure to include rank, name and age
- What - explain the event shown
- When - the day of the week and the date, i.e. Friday, May 11
- Where - location including the town and state

Recruit Instructor

Educates incoming Young Marines during Recruit training
Must be familiar with the Recruit Guidebook.

Recruiting & Retention Officer

Posts on social media and advertises for upcoming Recruit classes
Creating and scheduling activities to keep the Young Marines excited

Supply (Quartermaster)

Track issued gear to AVs and YMs.
Manage unit inventory account and ribbons & devices inventory.

Support Staff

Assists when needed for administrative duties

Unit Staff

Assists when needed to work “hands-on” with Youth

Webmaster

Updates and management of the YoungMarines.org Website.
- Uploads pictures.
- Updates the calendar
- Ensures data is correct and up-to-date
- Updates Unit Contacts
